Privacy Policy

This policy explains what personal data Memo (“we”, “us”) collects when you use the app, why we collect it, who we share it with, and the rights you have over it. We aim to collect as little as the service needs to work.
Who we are
Memo is a vocabulary-learning application. For any question about this policy or your data, contact us at support@vocowl.com. For the purposes of the GDPR, we act as the data controller for the personal data described here.
Data we collect
- Account data. When you sign in with Google or with an email magic link, we receive your email address and, from Google, your name and profile picture.
- Learning data. The words and decks you study, your reviews and their timing, streaks, daily activity, achievements, your chosen languages, daily goal, and your time zone (used to schedule reminders and roll over your day correctly).
- Words you look up or import. Text you enter for AI enrichment or upload for import is processed to build flashcards (see “Service providers”).
- Billing data. If you subscribe to Pro, our payment processor (Stripe) handles your card details. We never see or store full card numbers; we keep a customer and subscription identifier and your plan status.
- Technical data. Standard server logs (such as IP address and request metadata) needed to operate the service securely.
How we use your data
- To provide the service — scheduling reviews, generating flashcards, and playing audio.
- To send reminder emails at your chosen local hour, if you opt in.
- To process subscriptions and payments.
- To keep the service secure and to diagnose problems.
Our legal bases are the performance of our contract with you (providing the app), your consent (for reminder emails, which you can withdraw at any time), and our legitimate interest in keeping the service running and secure.
Service providers
We use the following processors to run Memo. They handle data only on our instructions:
- Google — sign-in, and text-to-speech synthesis of words and example sentences.
- Anthropic — AI enrichment. When you look up a word, that word is sent to Anthropic’s Claude API to generate translations, definitions, examples, and a drawing. Do not enter sensitive personal information as a “word”.
- Resend — sending sign-in links and reminder emails.
- Stripe — payment processing for Pro subscriptions.
- Neon — the hosted database that stores your account and learning data.
- Tigris — object storage for generated audio files.
- Fly.io — application hosting.
Some of these providers may process data outside the European Economic Area. Where they do, transfers are covered by appropriate safeguards such as the European Commission’s Standard Contractual Clauses. We do not sell your personal data.
Cookies and local storage
We use a single essential cookie to keep you signed in. We do not use advertising or third-party tracking cookies. Your theme and audio-volume preferences are stored locally in your browser and never leave your device.
Retention
We keep your data for as long as your account exists. If you delete your account, we delete your personal data within a reasonable period, except where we must retain limited records (for example, billing records) to meet legal obligations.
Your rights
Under the GDPR you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased;
- receive your data in a portable format;
- object to or restrict certain processing; and
- withdraw consent (such as for reminder emails) at any time.
To exercise any of these, email support@vocowl.com. You also have the right to lodge a complaint with your local data protection authority.
Children
Memo is not directed at children under 16, and we do not knowingly collect their data. If you believe a child has provided us with personal data, contact us and we will remove it.
Changes to this policy
We may update this policy as the service evolves. When we make material changes, we will update the date above and, where appropriate, notify you.
